1. Who We Are
Roy Estimator is a product of Roy Software LLC ("we," "us," "our"). Roy Estimator is a mobile application that helps trade contractors create professional estimates. This Privacy Policy applies to the Roy Estimator mobile application and does not cover any third-party websites or services linked from within the app. This Privacy Policy explains how we collect, use, and protect your information.
2. Information We Collect
Information You Provide
- Account information: Email address, full name, company name, phone number, trade category
- Estimate data: Customer names, addresses, phone numbers, email addresses, line items, pricing, notes
- Voice recordings: Audio recordings you make for voice-to-estimate features. These are processed by OpenAI's Whisper API for transcription and deleted immediately after processing, typically within seconds. They are not stored on our servers.
- Photos: Images you upload for photo-to-estimate features. These are processed by OpenAI's GPT-4o Vision API and deleted immediately after processing, typically within seconds. They are not stored on our servers.
- Company information: Company logo, terms and conditions, contact details
Information Collected Automatically
- Device information: Device type, operating system version, app version
- Usage data: Feature usage patterns, estimate counts, session duration
- Crash data: Error logs and crash reports to improve app stability
Information We Do NOT Collect
- We do not collect location data
- We do not collect contacts or address book data
- We do not sell any personal information to third parties
3. How We Use Your Information
We use your information to:
- Provide and maintain the Roy Estimator service
- Process voice recordings into structured estimates (via OpenAI API)
- Process photos into line items (via OpenAI API)
- Generate professional PDF estimates
- Send you login verification codes
- Manage your subscription
- Improve the app based on usage patterns
- Send important service updates (not marketing)
4. Third-Party Services

Important: Voice recordings and photos sent to OpenAI for processing are covered by OpenAI's current API Data Usage Policy, which states that API inputs are not used to train their models and are not retained after processing. All third-party service providers are bound by their respective data processing agreements and privacy policies.
5. Data Storage and Security
- Your data is stored securely on Supabase's cloud infrastructure (AWS)
- All data is encrypted in transit (TLS/SSL) and at rest
- Voice recordings are processed in real-time and deleted immediately after processing, typically within seconds
- Photos are processed in real-time and deleted immediately after processing, typically within seconds
- We use strict access controls to ensure you can only access your own data
6. Data Retention
- Account data: Retained as long as your account is active
- Estimate data: Retained as long as your account is active
- Voice recordings: Deleted immediately after processing, typically within seconds
- Photos: Deleted immediately after processing, typically within seconds
- After account deletion: All data is permanently deleted within 30 days
7. Your Rights
You have the right to:
- Access your personal data at any time through the app
- Export your estimates as PDF documents
- Delete your account and all associated data
- Correct any inaccurate information in your profile
- Opt out of non-essential communications

8. Your Customers' Data
Roy Estimator allows you to store information about your customers (names, addresses, phone numbers, email addresses) as part of your estimates. You are the data controller for your customers' personal information. You are responsible for:
- Having appropriate permission or legal basis to store your customers' data
- Complying with applicable privacy laws regarding your customers' information
- Informing your customers how their data is used, if required by law
We act as a data processor for your customers' information — we store and process it solely on your behalf to provide the Roy Estimator service.
9. California Residents — CCPA/CPRA Rights
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA):
- Right to Know: You may request information about the categories and specific pieces of personal data we have collected about you, the sources, our business purpose for collecting it, and the third parties we share it with.
- Right to Delete: You may request deletion of your personal data, subject to certain exceptions.
- Right to Correct: You may request correction of inaccurate personal data.
- Right to Opt-Out of Sale: We do not sell your personal information. We do not share your personal information for cross-context behavioral advertising.
- Right to Non-Discrimination: We will not discriminate against you for exercising any of these rights.

10. International Users
Roy Estimator is operated from the United States. If you access the App from outside the United States, please be aware that your information will be transferred to, stored, and processed in the United States, where our servers and service providers (including Supabase/AWS and OpenAI) are located.
If you are located in the European Economic Area (EEA), United Kingdom, or Switzerland:
- Legal basis: We process your data based on contractual necessity (to provide the service you signed up for) and legitimate interest (to improve the App and prevent fraud)
- Data transfers: Your data is transferred to the US under standard contractual clauses and/or the service providers' data processing agreements
- Additional rights: You have the right to data portability, the right to restrict processing, and the right to lodge a complaint with your local supervisory authority
By using the App, you acknowledge that your information will be transferred and processed as described in this Privacy Policy.
11. Data Breach Notification
In the event of a data breach that compromises your personal information, we will notify affected users within 72 hours of becoming aware of the breach, via email and/or in-app notification. We will also notify relevant regulatory authorities as required by applicable law.
12. Children's Privacy
Roy Estimator is not intended for use by anyone under the age of 18. We do not knowingly collect information from children.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes through the app or via email. Continued use of the app after changes constitutes acceptance.
